DEALER PORTAL.

The white-label, customer-facing portal where your dealers and customers track their VINs in real-time. Custom branding, custom domains, role-scoped access.

What the dealer portal is

Every Prevayl customer (broker, hauler, dealer-direct) gets a customer-facing portal that lets their end customers — dealers, fleet managers, individual buyers — track their VINs without picking up the phone. Three things matter:

  • White-label — your branding, not Prevayl's
  • Real-time — VIN status updates as the carrier's mobile portal posts BOL events
  • Role-scoped — each dealer sees only their own VINs, never another dealer's

Custom domain

By default, the portal lives at portal.prevaylos.com/[your-slug]. To use your own domain (e.g., track.yourcompany.com):

  1. Add a CNAME record at your DNS provider pointing to portal-cname.prevaylos.com
  2. Settings → Dealer Portal → Custom Domain → enter the hostname
  3. SSL provisioning runs automatically (~5 minutes)
  4. Verify the domain resolves and shows your branding
You can have multiple custom domains per organization (e.g., track.yourcompany.com for retail, fleet.yourcompany.com for fleet customers).

Role configuration

Within the dealer portal, three default roles exist:

Custom roles with finer permissions are configurable per-dealer under Customers → [dealer] → Portal Roles.

What dealers see

The dealer portal default view shows:

  • Active VINs in transit (with map)
  • Recently delivered VINs (last 30 days)
  • Outstanding invoices (with pay-online button if Stripe enabled)
  • Documents library (BOLs, COIs, invoices, statements)

Dealers can drill into any VIN to see: pickup details, current GPS location (if carrier opted into sharing), assigned carrier, expected delivery, full BOL with photos, and any exceptions.

Common configurations

Auction-direct dealer setup

For dealers buying at Manheim/ADESA who want auction-to-driveway tracking, enable Auction CSV Self-Service in their portal settings. The dealer can then upload their own buyer lot CSV directly; orders create automatically and are routed through your dispatch operation.

Approval-required dealer setup

For dealers where every order needs your approval before dispatch, enable Quote-to-Order Approval. The dealer requests transport quotes; you review, price, and approve before any carrier outreach.
